It could be the follow-up to a new inquiry, property information a buyer is waiting for, or a message to a past client who\u2019s ready to work with you again.<\/p>\n\n\n\n<p>Agents often send emails in several different ways. Leads may be answered through your CRM. Communication with clients through Gmail or Outlook. A completely different platform for prospecting or market updates. Meanwhile, an email list may contain everyone from active buyers to cold leads you haven\u2019t contacted in years.<\/p>\n\n\n\n<p>All of that can affect whether your emails reach the inbox. Another may be a past client you\u2019ve stayed in touch with for years. Your list might also include open-house visitors, cold prospects, referrals, and old leads who haven\u2019t interacted with you in months or even years.<\/p>\n\n\n\n<p>The emails you send can be just as varied. Along with individual client and lead follow-ups, you may send automated CRM sequences, listing announcements, market updates, and larger prospecting campaigns.&nbsp;<\/p>\n\n\n\n<p>The risk of deliverability problems varies depending on who you&#8217;re emailing and how you&#8217;re sending those messages. Older and colder contacts are more likely to ignore your emails, unsubscribe, or mark messages as spam. Sending a lot of emails at once can also cause problems.<\/p>\n\n\n\n<p>Mailbox providers pay attention to how people respond to your emails and how you send your emails. If your messages are regularly ignored or marked as spam, or you send out large campaigns frequently, it can hurt your sender reputation. Once your reputation is low, your future emails will likely land in spam instead of contacts\u2019 inboxes, including things like follow-ups to promising new leads.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Know Where You&#8217;re Sending Email From<\/strong><\/h2>\n\n\n\n<p>Even if all of those messages come from the same email address, they may take different routes to the recipient\u2019s inbox. Many real estate agents use several different tools to send emails. Individual follow-ups might go through Gmail or Outlook, automated sequences through your CRM, and prospecting emails through a separate marketing or outreach platform.<\/p>\n\n\n\n<p>Some real estate CRMs send email through your connected Gmail or Microsoft account. Others send messages through their own systems. Outreach platforms may handle email differently, too, especially when you\u2019re using them for automated sequences or sending to a lot of contacts at once.<\/p>\n\n\n\n<p>The tool you use can affect things like sending limits, email authentication, and your sender reputation. You don\u2019t need to understand the technology behind every platform. Just know which tool you\u2019re using for each type of email. Even if you\u2019re using the same email address and contacting the same people, you may suddenly be sending through a different system or sending more email than you did before. Before you send your first email, go through the guidance for how to use the platform. This may mitigate some issues further down the road.&nbsp;<\/p>\n\n\n\n<p>Avoid moving your entire contact list into a new platform and immediately launching a large campaign. This will immediately send up red flags with email service providers. Start with your most recent and engaged contacts, and increase your sending gradually. This is especially important if you\u2019re bringing over years of old leads that you haven\u2019t contacted recently.<\/p>\n\n\n\n<p>Pay attention to what happens after the switch, too. If you see more bounces, fewer replies, or other unusual changes after moving to a new platform, don\u2019t assume your contacts suddenly stopped responding. The change in how you\u2019re sending email may be part of the problem.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Is Your Email Domain Set Up to Reach the Inbox?<\/strong><\/h2>\n\n\n\n<p>Your email domain is the part of your email address that comes after the @ sign. If your address is jane@janesmithrealestate.com, for example, janesmithrealestate.com is your domain.<\/p>\n\n\n\n<p>When you send an email, the recipient\u2019s email provider checks for signs that the message really came from your domain and that the sender was authorized to use that domain. These checks help providers decide whether to trust the message and where to put it.<\/p>\n\n\n\n<p>The technical setup that allows those checks to happen is called email authentication. You may hear terms such as SPF, DKIM, and DMARC associated with it. You don\u2019t need to know how they work or set them up yourself. What matters is making sure your email authentication is configured correctly, and who you ask for help depends on whether you use your own domain or your brokerage\u2019s.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>If You Use Your Own Domain<\/strong><\/h3>\n\n\n\n<p>If you bought and control the domain you use for your business email, such as jane@janesmithrealestate.com, you\u2019re using your own domain. Someone else may manage the technical settings for you, but the domain belongs to your business.<\/p>\n\n\n\n<p>That means you can make sure the services sending email from your address are properly authenticated. You don\u2019t need to configure SPF, DKIM, or DMARC yourself. If you\u2019re unsure whether they\u2019re set up correctly, ask whoever manages your domain or contact your email provider, CRM, or outreach platform for guidance.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\"><strong>If You Use Your Brokerage&#8217;s Domain<\/strong><\/h3>\n\n\n\n<p>If your brokerage owns the domain in your email address, such as jane@smithrealty.com, the brokerage probably controls its email authentication settings.<\/p>\n\n\n\n<p>Before connecting an outside CRM or outreach platform to that address, find out whether the brokerage allows it and whether the service is properly authorized to send from its domain. Your brokerage&#8217;s IT or marketing team should be able to answer those questions.<\/p>\n\n\n\n<p>If there&#8217;s an authentication problem with a brokerage-owned domain, it&#8217;s generally something the brokerage needs to address rather than something you can fix on your own.<\/p>\n\n\n\n<p>Not sure? Real estate contact lists tend to grow over the years, and the people in yours may include people you haven\u2019t heard from in a very long time.<\/p>\n\n\n\n<p>Treating all of those contacts the same can hurt your deliverability. Someone who requested a showing last week is very different from a three-year-old internet lead who never responded when you reached out to them.&nbsp;<\/p>\n\n\n\n<p>Review your email list regularly for:<\/p>\n\n\n\n<ul>\n<li>Invalid email addresses and hard bounces<\/li>\n\n\n\n<li>Contacts who haven&#8217;t opened, clicked, or responded to your emails for a long time<\/li>\n\n\n\n<li>Duplicate records<\/li>\n\n\n\n<li>People who have unsubscribed or asked not to receive email<\/li>\n\n\n\n<li>Older leads you no longer have a good reason to contact<\/li>\n<\/ul>\n\n\n\n<p>You don&#8217;t necessarily have to give up on every inactive contact immediately. A re-engagement campaign can give appropriate older leads and past clients an opportunity to indicate that they still want to hear from you. If they remain unresponsive, suppressing them from future campaigns is better than emailing them indefinitely.<\/p>\n\n\n\n<p>Be especially careful with a large list you haven&#8217;t contacted recently. Sending a high volume of email to old or cold contacts all at once can produce low engagement, bounces, and complaints, all of which can create deliverability problems.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\"><strong>Is It a Deliverability Problem or Is Your Lead Just Not Responding?<\/strong><\/h2>\n\n\n\n<p>One unanswered follow-up doesn&#8217;t tell you much about deliverability. Look for patterns that suggest you may be having a deliverability problem.<\/p>\n\n\n\n<p>Warning signs can include:<\/p>\n\n\n\n<ul>\n<li>Increasing bounces or spam complaints<\/li>\n\n\n\n<li>A noticeable drop in replies or engagement<\/li>\n\n\n\n<li>Multiple contacts telling you they never received your email<\/li>\n\n\n\n<li>Problems concentrated among Gmail, Outlook, Yahoo, or another provider<\/li>\n\n\n\n<li>One type of email or sending tool suddenly performing differently<\/li>\n<\/ul>\n\n\n\n<p>Start with the reporting available in your CRM or outreach platform. Open rates can provide some information, but privacy features and other forms of automatic tracking make them an imperfect measure of whether someone actually read your email.<\/p>\n\n\n\n<p>If you&#8217;re still unsure, inbox-placement testing can provide a more direct look at whether messages are reaching inboxes or being filtered elsewhere.&nbsp;<\/p>\n\n\n\n<p><a href=\"https:\/\/www.inboxally.com\/\" data-lasso-id=\"1334823\">InboxAlly<\/a> can help you test and monitor where your emails are landing across major email providers, which can be useful if you\u2019re sending a significant volume of outreach.
